Erasmus+ Application in SoleGrant

Note! It is recommended that you use the Chrome, Firefox or Opera web browser.

This is how you log in and start your application:

• Go to SoleMove: SoleMOVE / Welcome!
• Select “University of Borås [HB]”.
• On the right-hand side, click on “HB-id”.
• Log in with your student ID. You can log in at any time as long as your student ID is valid.

• Click on "SoleGrant" in the menu on the left-hand side. 

You are now logged into SoleGrant where you will submit your Erasmus+ application.

• Click on “Application” in the menu on the left-hand side.
• Click on “Create new application” at the top on the right-hand side to start filling in your application form.

• A window with your confirmed exchange spot will open.
• Select the host institution for your exchange and click “Create new application”.

You may now start filling in the form. Remember to click “Save” after each part.

Some fields in the form are pre-filled but not all.

• Fill in the information that is missing.
• Click on “Save” and go to the next tab.

The next part contains information about your exchange. The fields are pre-filled and should not be changed.  

• Do not change the exchange period dates (you will write your individual exchange dates in the next tab).
• Click on “Save” and go to the next tab.

The fields under “Grant information” are needed to calculate your Erasmus+ grant. There are several fields where you need to add information.

• Grant period: Change the dates to the planned start and end date of your exchange. The start date should be the first day you will be physically present in the host country for an academic reason. Welcome days (also known as "orientation days" or "introduction days") can be counted towards the study period. The end date is the last day you will be physically present in the host country for an academic reason. You may usually find the start and end date:
  • In the application information from the receiving university
  • In the acceptance letter from the receiving university
  • In an academic calendar on the receiving university’s website
  • By asking the International Office at the receiving university
  • If you do not know your start and end date, and the deadline for handing in the application is approaching, please put the dates 1 of January to 1 of June. These dates will serve as preliminary dates for calculating a preliminary grant. The Erasmus+ coordinator will reach out to you later and request more specific dates. You are also encouraged to contact exchange@hb.se with this information when you receive it.
• Travelling days: A travel day is a day you need for transport to/from the host country. Travel that takes place the same day that the studies abroad start/end does not count as a travel day. If you will travel with environmentally friendly means, you can receive a grant for up to 6 travel days, a maximum of 3 days per direction. Environmentally friendly means are bus and train. Car-pooling is also considered as green travel if you are at least 2 programme participants who travel together in the car; accompanying family members may not be included in the count. If you will not be travelling green, you can receive a grant for up to 2 travel days, a maximum of 1 day per direction.
• Amount: Write "0" (zero).
• Green travel check box: Tick this box if at least fifty percent (50%) of your total travel distance (to and from the destination) will be done with environmentally friendly means. Students who travel green receive a higher travel grant amount. You will need to confirm your mode of travel after the exchange.
• Bank account: Add the details of the bank account for payment of the grant. It has to be a bank account in your name.
  • Add the name of your bank. 
  • Students with Swedish bank accounts write their bank account number and clearing number (4 digits) in the corresponding fields. If you have Swedbank/Sparbank and your clearing number consists of 5 digits, do not include the fifth number.
  • Students with foreign bank accounts write their IBAN and SWIFT number in the corresponding fields.

• Conditions:You need to tick the box to confirm you understand and accept the conditions.
• Click on “Save” and go to the next tab.

There is no need to add an enclosure. Go to the next tab.

Review your form and submit it when ready. You will not be able to edit the form once it has been submitted, so make sure that all the information you have provided is correct.

• When you are ready, submit the application by clicking on "send application" at the top on the right-hand side.

When the application form has been submitted, the status for your application should be “Sent to decision”, this means that the Erasmus+ coordinator at the International Office may see and process your form. When the form has been processed you will receive an invitation to sign your Grant Agreement. The invitation will be sent to your university e-mail.

Please note that if the International Office has any follow-up questions regarding your form, they will contact you by email.
